I was afraid that it' only my oppinion that all listed tools overegineered and at the same time don't cover core PM needs. Instead of managing project with a tool you have extra activity manage a tool.

I was excited about Motion until saw the price. Yikes, just to get permissions it's $49 per person per month.

Thanks for a clearer picture of how these PM tools work. We started using clickup and we love it. There are a lot of functions that we were looking for. Asana is lacking some features that we need. Motion is good too, but too expensive. One thing I wish they had was to hear the notifications.

Am I the only person here who doesn't like Asana? I understand that it's very beginner friendly but I was forced to use it at a company a few years ago and to this day it is the buggiest project management solution I've used. I also haven't run into any significant differentiators that sets Asana apart from it's competition. If someone can help me drink the Asana koolaid I'm all ears, but until then I will be scratching my head as to why Asana is on the same level as God for some people

Asana still misses some base functionalities in 2025.
- No comment threads - all comments are lined up in a single thread.
- Base fields, like "Due date" and "Assignee", cannot be set as required.
- Gantt chart cannot be exported. The whole idea of Gantt chart is simply lost, you can't even make a screenshot - the chart usually doesn't fit on the screen.
- State of a project is not customizable - it's fixed platform-wide.
- Users signed up independently bring their own auto-generated dummy teams, tasks and sometimes projects.

100% agree with the thoughts on Notion. I got so creative with notion that it became in organized confusion chaos, but aesthetically pleasing, but still didn't know where nothing was at or what I was doing. But I still like notion

I'm starting a new consultant business, so what would you recommend out of these tools (or others as the market may have changed in your opinion since this video) based on the features I want:
- Manage Customers individually including their charge rate per hour
- Manage Employees individually (including myself) for their bill rate per hour
- Projects (aligned to a customer) with Tasks (Sub Tasks are just a nice to have)
- Invoicing Customers with Hour Details
- Cutting payslips per Employee with Hour Details
- Knowledge base build out
- Ability to create ADHOC "hours" from a customer outside of Projects (maybe this is just an always open single task Project).
There are other features I'd love (Customer On boarding, Employee On Boarding, Automation of documents like Envoice, sending out Project Plans for Approval, etc), but the above are the Need to Have. Integrations with banks would be great as I'm trying to lessen my tech. stack and if I can get around having to get QuickBooks, I will. Here is something to note . . . team that is less than 10 people, and we'd most likely self implement.
Notion is fantastic for project management. Create a task list for each employee and job done. It's simple.

I want to track their work and progress and give them tasks with deadline but limited access to the system (certain projects that are higher level). I also need to track overall company goal, projects, and milestones. I’d prefer not to spend a lot of money, so I debated just doing it manually through free versions but I’m not sure if I’m just holding myself back. What do you recommend? Should I start small and pivot or is there a PM tool that’s right for my situation?

@GarvanRusheI tried to sign up to Motion and it said it can’t recognise my account, and create a new account cost $500 a year. That’s why it had bad reviews. I think this girl get paid by Motion.

If there are just 2 or 3 people with single or end of year projects, like renewing client accounts or getting reports and invoicing done for clients, is it worth setting these up. Would a shared Google calendar and a dedicated Excel with the 30 clients suffice ? We're not good at these type of apps. 2. Are tick tick or Todoist gonna complicate what I can do with my calendar, a Daily priority list on paper and an Excel? Thanks!!

Company I work for uses Notion - I have been the one responsible for it for the last 2 years. Built our pricing table, our product list with information and related quick notes, travel itineraries and preparation, market research etc.
The more complex our ideas are becoming the more limitations I run into especially on the PM side - I would love for us to be able to close a deal in our CRM and automate a project for post-sales support in a proper management tool. I dont foresee us adding Motion and keeping Notion for the sake of cost but this is defintely something that seems really amazing and I would love to roll us over too if a seamless migration could take place.
Hell don't you need it to work first Motion SUCKS I bave up in two days SUCKS a waste of time.

Slick video, and not in the good way. Feels more like an ad than some objective analysis. You even had to quote someone from social media rather than state your own opinion. If you didn't use and have an opinion on clickup, you should have left it out of the video. See, this looks like your intention was more focused on your own favorite.

@Unkown_BarcodeCorrect me if I'm wrong, but Asana doesn't allow you to group your projects inside so called "portfolios" (basically folders) unless you are on one of their highest tier plans. The cheapest one that allows you to do this is the Advanced plan that costs $600 a year which is way too much for a tiny team of 2 people. And that's if you prepay for 1 year. If you're paying monthly, that's $720 a year. Way too much. Not being able to group our clients' projects under portfolios makes Asana practically useless as it becomes a long messy list of projects that you have to navigate through to find the right one. Apart from this, we really like Asana and would have loved to use it, but currently it's out of our budget due to this artificial limitation. It's not like they need more server resources in order to allow the usage of basic folders (portfolios).
