My Top 5 FREE Task Management Apps That Changed My Life!

Video Overview & Insights

In this updated task management app guide, I share my top 5 free task management tools for small businesses in 2026.

Akiflow is the ones that suits me the best personally

โ€” @JuanCruz-y6f4m

I break down each of my favourite task management apps and help you identify the best free solution for your small business.

Todoist keeps showing up on these lists for good reason, been using it for years.

Something that helped me was stopping trying to fight how my brain actually thinks (non-linearly) and finding a tool that matched that instead of the other way around. I actually ended up building my own after not finding what I needed. Still rough around the edges but if anyone's curious it's called Branchify. Always looking for feedback.

Thorough review. I am in the process of "de-Googling" so Google Tasks & Keep are off the table right away: they read and capture data about everything you do and write in order to sell it. 75% of their revenue is ad revenue and they sell your data as part of that. AI only extends their reach.

Really helpful list. There are so many task apps now. Our team recently started using Orangescrum and it's been pretty smooth for managing tasks.

Thanks for the video. Iโ€™m searching for an app that works well in both Windows and Mac OS, and that I can easily toggle between multiple projects but also display by priority level (e.g., high, med, low) across said projects. Is there anything in your list that comes to mind?

Another great one. Thanks Stewart.

1. AbstractSpoon TDL
Aussie.(Sorry!)
Absolute hidden genius.
Good if solo.
Massive feature set.

2. TickTick
Not free but so good that's irrelevant.
Good for solo or collab.
Ideal for lifestyle.

3. Obsidian
Markdown editor
Total boss due to vast plugin library
Tasks is not the primary use case but it's gold as a "second brain"

But Sheetify would be a go-to if I needed business elements.

I tried todoist, didn't like the modern visuals, whitespace & minimalist approach "guess what this area of the GUI is for"! I like structure & fields.
